Report Issues

All hostel complaints — housekeeping or maintenance — are recorded in physical registers kept with the guard. The Hostel Supervisor ensures every complaint is tracked and closed with the student's signature.

Maintenance complaints are logged on ERP

After recording in the register, the Hostel Supervisor logs all maintenance issues on ERP daily and follows up with IWD / Vendor until resolution.

Hostel Leave

Leave Intimation

Students must intimate about their leave before leaving the hostel for more than 24 hours. Keep the following information ready before filling the form.

Keep these ready before you apply:

  • Your room number and hostel name
  • Exact leave start date and expected return date
  • Destination and reason for leave
  • Parent / guardian's / Emergency contact number

Warden approval is mandatory for leaves exceeding 3 days.

Visitor Pass

Guest Request

Day visits must be registered at the hostel gate. Overnight stays are not permitted in hostel rooms. Guests may explore accommodation at the Institute Guest House (Visitor Hostel 1), which is outside CoW purview — contact the institute administration directly for availability.

Keep these ready before you apply:

  • Guest's full name and relation to you
  • Guest's contact number
  • Visit date and type — day visit or overnight stay
  • Purpose of visit

Transfer Request

Room Change

A room once allotted shall ordinarily not be changed during the academic year. In exceptional circumstances, a change may be permitted upon written application and recommendation of the Warden. Requests must state a valid reason — frivolous requests will not be entertained.

Accepted grounds for room change:

Medical Roommate conflict Disability / accessibility Personal circumstances
  • Your current room and hostel
  • Preferred hostel or room (if any)
  • Clear reason for the request

Requests are processed within 7 working days.

Inter-hostel transfers are ordinarily not permitted once allocation is finalised. Requests for change of hostel are considered only in rare and exceptional circumstances and require approval at the Chairman CoW or Dean (Student Affairs) level. There is no application form for hostel change — approach your Warden directly if you believe your circumstances qualify.

On-Campus Healthcare

Medical & Health

The Institute Health Centre (IHC) provides primary healthcare to all residents. For emergencies, contact the caretaker or security gate immediately — 24×7.

OPD: 9:00 AM – 1:00 PM and 3:00 – 5:00 PM, Mon – Sat.

Prescription medicines available. Doctor on duty during OPD hours.
Emergency & Referral
Contact caretaker or security gate immediately. Ambulance arranged via institute.

Nearest: Swaroop Rani Hospital and SGPGI, Lucknow.
Medical Leave
Requires a certificate from the campus doctor or a registered hospital.

Submit to your warden within 48 hours of return.
Insurance & Reimbursement
Students are covered under the institute's group medical insurance. OPD reimbursement claims processed through the CoW office.

Counselling

Confidential counselling sessions are available to all residents. No appointment needed for drop-in hours. Records are not shared with wardens, faculty, or parents.
