Leave & Permissions
If you intend to remain outside the hostel overnight, you should submit a Hostel Leave Intimation before departure. Daytime movement outside the campus does not ordinarily require leave intimation.
Submit the Hostel Leave Intimation Form through the prescribed digital portal or other officially notified mechanism. Keep your hostel and room number, dates of absence, destination or contact address, and parent or guardian contact details ready before filling the form.
Ordinarily, no. Hostel leave is an intimation mechanism and not a permission mechanism. For an absence of more than seven consecutive days, you must additionally inform the Warden through the prescribed procedure. Internship, medical treatment, vacation stay, and other long-duration absences may be governed by their respective provisions.
In a genuine emergency, prior intimation may not be possible. In such cases, you or a responsible person acting on your behalf should inform the Caretaker, Assistant Warden, or Warden at the earliest opportunity. Such delay may be condoned by the Warden depending on the circumstances.
No. Hostel Leave Intimation is only for hostel administration, safety, and welfare purposes. It does not exempt you from academic attendance requirements or other academic regulations.
Guest & Visitors
Day visitors — family members and approved guests — are permitted during designated visiting hours. All visitors must be registered at the hostel gate. Overnight stays are restricted to immediate family members only and require prior warden approval.
Submit the Guest Request form on the Services page at least 24 hours before the planned visit. You will need the guest's name, relation, contact number, visit date, and type of stay (day visit or overnight).
Fellow students from other hostels may visit common areas during permitted hours. Entry into residential rooms by visitors of the opposite gender is not permitted at any time. Overnight stays by any guest — including fellow students or family — within hostel rooms are not permitted under any circumstances. Guests requiring overnight accommodation should explore the Institute Guest House, which is outside CoW purview.
Room & Accommodation
Submit a Room Change request on the Services page. Accepted grounds include medical reasons, academic proximity, roommate conflict, disability/accessibility needs, and personal circumstances. Requests are processed within 7 working days subject to availability.
No. Hostel rooms are allotted to specific students. Allowing unauthorised persons to stay in your room — even temporarily — is a violation of hostel rules and may lead to disciplinary action.
Yes. Undergraduate students shall ordinarily vacate hostel rooms during long vacation periods declared by the Institute. Retention of accommodation during vacation is not a matter of right and requires a written application and approval from the Warden. Permission may be granted to students engaged in academic work, project work, institutional assignments, or other approved activities.

Postgraduate students and research scholars may retain accommodation during vacations subject to Warden approval and availability.

Personal belongings left in rooms without authorisation after the prescribed vacation period may be removed. Room allotments are subject to annual review.
Yes. Students proceeding on internship outside the Institute shall ordinarily vacate hostel accommodation for the duration of the internship. Retention of the room during internship requires prior written approval from the Warden.

Failure to vacate without prior written approval constitutes unauthorised occupancy and attracts action under the Hostel Regulations 2026.
Laptops, mobile chargers, fans, and table lamps are permitted. The following are strictly prohibited without specific prior approval: electric kettles, immersion rods, heaters, induction cookers, electric stoves, air-conditioners, and refrigerators. Cooking within hostel rooms using open flame, induction, or any electrical cooking device not specifically authorised is also prohibited under the Hostel Regulations 2026.

Unauthorised appliances may be confiscated and penalties imposed as per the disciplinary framework. Residents must switch off all appliances when leaving their room.
Maintenance & Complaints
Write your complaint in the Maintenance Register kept with the guard at your hostel. The Hostel Supervisor checks the register daily, logs it on ERP, and follows up with IWD or the vendor. See the full process on the Services page.
Write in the Housekeeping Register kept with the guard. The guard will inform the Caretaker, who is responsible for resolving housekeeping complaints. You will be asked to sign as formal closure once resolved.
The standard SLA for maintenance complaints is 48 hours. Complex repairs involving IWD or external vendors may take longer. The Hostel Supervisor tracks all open complaints on ERP and follows up until resolution. If your complaint is not resolved in time, escalate to your Warden.
Mess & Dining
Mess rebates are applicable when you are on approved leave for more than 3 consecutive days. Submit your leave application through the Services page — the rebate is calculated based on approved leave dates. Contact Mr. Suryakant Bhatt at the CoW Office for rebate-related queries.
Special diet requests on medical grounds may be considered with a valid prescription from the campus doctor. Submit your request to your Warden with supporting documentation. The Mess Committee reviews such requests under Warden supervision.
Use the feedback option on the Mess & Dining section of the Services page. You can also raise concerns through your hostel's Mess Committee representative, who reports to the Warden.
Standard mess timings are: Breakfast 7:30–9:00 AM, Lunch 12:00–2:00 PM, Snacks 5:00–6:00 PM, Dinner 7:30–9:30 PM. Timings may vary during examinations or special occasions — check the Mess & Dining section for the current week's schedule.
Mess charges are not applicable during an approved period of internship absence, subject to compliance with the mess rebate procedure under Chapter 9 of the Hostel Regulations 2026.

However, fixed hostel charges — covering committed costs such as manpower, maintenance, and utilities — may continue to apply irrespective of physical occupancy, as notified by the Institute. Only the variable component of mess charges is eligible for rebate.
Health & Emergency
The Institute Health Centre (IHC) OPD is open Monday to Saturday: 9:00 AM – 1:00 PM and 3:00 – 5:00 PM. A doctor is on duty during these hours and prescription medicines are available on-site.
Contact your hostel Caretaker immediately — they are available 24×7 and are the first institutional responder for emergencies. The Caretaker will contact the Hostel Supervisor who coordinates ambulance and hospital admission. Emergency numbers are listed below on this page.
Students are covered under the institute's group medical insurance. Submit your OPD bills and prescription to Ms. Prabha Verma at the CoW Office. Claims are processed through the office in coordination with the Insurance/TPA.
The nearest hospitals are Swaroop Rani Nehru Hospital, Allahabad and SGPGI, Lucknow for specialist referrals. Ambulance is arranged through the institute — contact your Caretaker or the security gate immediately.
Rules & Discipline
All grievances should ordinarily follow the prescribed hierarchy — approach your Caretaker first, then the Assistant Warden, then the Warden, and finally the CoW Office if unresolved. Representations to higher authorities should be made through this proper channel. See the Grievance Redressal section below for the full escalation flow.
Hostel gates follow prescribed timings as per the Hostel Regulations. Late entry without prior permission is a disciplinary violation. Check the current timings with your Warden or Caretaker — timings may vary between Boys and Girls hostels.
Ragging in any form is a criminal offence under the law and is strictly prohibited at IIITA. Consequences include immediate suspension from the hostel, expulsion from the institute, and/or criminal prosecution as per UGC Anti-Ragging Regulations. Report any incident immediately to your Warden or the Anti-Ragging Committee. See Anti-Ragging Policy for details.
Students must obtain prior permission from the competent authority before keeping a vehicle on campus. Vehicles parked without authorisation may be impounded. Contact the CoW Office for the current procedure for vehicle registration.
Report it to your Caretaker or Warden immediately. You may also write to the CoW Office at cow@iiita.ac.in. False or malicious complaints are themselves a disciplinary violation — report only genuine concerns in good faith.
No. Consumption, possession, or distribution of alcohol, tobacco, or any intoxicant within the hostel premises is strictly prohibited. Violation is a serious disciplinary offence and may lead to immediate hostel expulsion and Institute-level action.
Managing Grievances

Grievance Redressal

All residents may approach hostel authorities for assistance, guidance, or grievance redressal. Representations to higher authorities shall ordinarily be made through the proper channel.
